The Administrative Coordinator for Employer Solutions classifies, stores, retrieves and updates generated information as needed in an occupational healthcare environment.
Must have strong interpersonal and customer service skills, and the ability to communicate effectively with patients and clients.
Works under general supervision, performing various clerical duties.
Maintains and protects confidentiality and privacy of patients, clients, and co-workers.
Will provide these services in the Frederick Health Employer Solutions office, or on site, as scheduled.
Example of Essential Functions: • Provides administrative support to the operations team.
• Backup for MRO Programs Manager • Backup for Billing Department • Enters Chain of Custody’s for MRO Department.
• Backup for “Open Injury Report” and sends Non-Compliance Letters.
• Actively works the “Open Orders Report” for the Frederick location and monitors twice a week and works with the Lead MA’s on closing the orders.
• Assists with calling employers regarding work status after injury care visits.
• Assists Director with mailing of sales and marketing materials to prospects.
• Communicates accurate patient exam and test results, work status information and client requests to employers, patients, insurance carriers and outside providers as directed by the Site Manager and Chief Physician.
• Assists in the Practice as needed to register and discharge patients.
• Enters accurate patient information into Systoc database to initiate and complete appointments, work restrictions and completes appropriate printing functions necessary to accurately check-out workers’ compensation and non-workers’ compensation patients in Systoc database.
• Has an understanding of routine Employer Solutions Exams, testing and injury care.
• Reviews patient’s charts to ensure all paperwork and signatures have been completed and all test results, dictations, referral information etc.

• Must have knowledge of commonly used concepts, practices and procedures regarding injury care charts, pre-placement exam charts and surveillance exam charts as well as UDS and BAT charts, and additional charts as determined by Employer Solutions policy and/or Practice Manager.
• Ability to use database system in use by Employer Solutions including entering information and retrieving information.
• Assists with requests and receives records from medical records off-site storage.
• Assists with attorney medical requests by making copies, mailing requests for patient medical records as requested by attorneys, insurance carriers and outside physicians, healthcare providers, technicians, clerical personnel, and administrators employed by Employer Solutions in accordance with policy established by Employer Solutions and/or Practice Manager.
Explains release forms and obtains signature of patient when appropriate.
• Answers phone promptly and courteously.
Provides appropriate answers to questions or directs call to proper person.
• Photocopies and mails records correctly and in a timely fashion.
• Able to audit a patient’s chart to ensure all paperwork and signatures have been completed and all tests’ results, dictations, referral information, etc.

• Utilizes company profiles accurately.
• Searches for and investigates information contained in patient files.
Inserts additional data in patient file/records, completes reports, and keeps patients files current.
• Has a clear understanding of routine Employer Solutions exams and testing, and injury care.
• Prepares and delivers daily bank deposits.
• Performs routine filing duties, including filing patient medical charts in various filing systems as determined by Employer Solutions policy and/or Site Manager/Practice Manager.
• Assists with implementing changes to the filing system when directed to do so.
• Assists with orders and maintains all necessary office supplies as needed.
• Maintains and protects confidentiality and privacy of patients, clients, and co-workers.
